Claude can read your Outlook email and calendar, summarise long threads and draft replies, but only after your organization connects it to Microsoft 365. This guide walks through the setup step by step, from enabling the connector to connecting your own account, and covers the optional settings and troubleshooting.
TL;DR: Quick Summary
Connecting Claude to Outlook takes three steps and two kinds of people. 1. A Claude organization Owner adds the Microsoft 365 connector (Team and Enterprise plans only). 2. A Microsoft Entra Global Administrator grants consent. 3. Each user connects their own work account under Customize > Connectors. By default Claude can only read; sending email and managing events needs write tools switched on. Need help? See Studio6’s business email setup and support.

What the Claude Outlook Connector Does
The connector is called Microsoft 365. It connects Claude to Outlook, your calendar, Teams, OneDrive and SharePoint. Every action is delegated: Claude acts on your behalf and can read or change only what your own account can already read or change. In Outlook, that means:
- Read and search: email, email metadata, folder structure and mailbox settings such as timezone, plus your calendar events and calendars shared with you.
- Write (if enabled): draft and send email, manage calendar events, create and update files, and send Teams messages.
The connector is available on the Free, Pro, Max, Team and Enterprise plans. It needs a work or school Microsoft 365 account, and a Global Administrator must approve it once for your organization.
Before You Start
- A work or school Microsoft 365 account on a Microsoft Entra tenant, with an active license. Personal accounts such as outlook.com and hotmail.com are not supported.
- A Global Administrator in Microsoft Entra, who will approve the connector for your tenant.
- On Team and Enterprise plans, a Claude Owner or Primary Owner, who adds the connector for the organization.
| Role | What they do | Where |
|---|---|---|
| Claude organization Owner | Adds the Microsoft 365 connector for the team (Team and Enterprise only) | Organization settings > Connectors |
| Microsoft Entra Global Administrator | Grants admin consent for the whole organization | Customize > Connectors, or Microsoft Entra ID |
| Each user | Connects their own work account | Customize > Connectors |
Step 1: Add the Connector in Claude (Team and Enterprise Only)
Free, Pro and Max users skip this step. On Team and Enterprise plans, an Owner adds the connector once for everyone:
- Sign in to Claude as an organization Owner.
- Go to Organization settings > Connectors.
- Click + Add, then All available.
- Find Microsoft 365 and click Add to your team.
Step 2: Grant Microsoft Entra Admin Consent
A Global Administrator must authorize the integration for your tenant. There are two ways to do it.
Option 1: Consent through Claude (easiest)
Use this if the administrator has a Claude account.
- Go to Customize > Connectors.
- Find Microsoft 365 and click Connect.
- Select Work or school account if prompted, then sign in with your Microsoft 365 credentials.
- Review the permissions and tick the box to grant access on behalf of the whole organization.
Once consent is granted, other users in your tenant do not see a consent prompt. They can connect directly.
Option 2: Manual setup in Microsoft Entra ID
Use this if the administrator has no Claude account, or if you are troubleshooting. It involves adding two service principals, M365 MCP Client for Claude and M365 MCP Server for Claude, and visiting an admin-consent URL for each. The exact commands and app IDs are on Anthropic’s page, Set up the Microsoft 365 connector. Copy them from there rather than retyping them.
If a member tries to connect before consent is granted, they get an error saying an administrator must approve the app permissions first.
Optional: Restrict who can use the connector
- In the Microsoft Entra admin center, open the M365 MCP Server for Claude enterprise application.
- Go to Properties and set Assignment required? to Yes.
- Under Users and groups, add the permitted users or groups.
- Repeat for M365 MCP Client for Claude. Both applications must have the same users.
Optional: Turn on write tools
By default the connector is read-only. Write tools let Claude draft and send email, manage calendar events, create files and send Teams messages. To enable them:
- A Global Administrator re-consents to the updated permission set, if your tenant approved the connector before write tools launched.
- In Organization settings > Connectors > Microsoft 365, switch write tools on.
- Set each Teams write tool separately. The send, post and reply tools can be set to Ask or Blocked, and the “all tools” permission alone does not enable them.
- Test it by asking Claude to draft an email to yourself without sending it.
- No attachments: Claude cannot send, forward or draft emails that include attachments.
- Marked as agent-sent: emails Claude sends carry an attribution header that marks them as agent-initiated.
- Calendar changes notify people: changes to events automatically send invitations or updates to attendees.
Step 3: Connect Your Own Account
Once the connector is available, each person connects their own account:
- Open Claude and go to Customize > Connectors.
- Find Microsoft 365 in the list and click Connect.
- Choose Work or school account if prompted, then sign in with your work Microsoft 365 credentials.
That is it. The connection also works in the Claude iOS and Android apps. When it succeeds, the Connect button changes to Disconnect. To fix a broken connection, disconnect and reconnect from the same page. See Anthropic’s guide, Connect to Microsoft 365, for the member walkthrough.
Try Claude With Outlook
In a conversation, select + at the lower left of the message box, choose Connectors, and turn on Microsoft 365. Then ask Claude something that needs your email or calendar. Examples:
- Summarize email conversations about the product launch.
- Find the latest email from the vendor and list what they are asking for.
- Draft a reply to the latest email about the vendor contract.
- Schedule a 30-minute sync with the design team next week.
The last two work only if write tools are on for you. Otherwise Claude can still read and search.
What Claude Can See in Outlook
- Mail: your primary mailbox, including its Archive folder, and shared mailboxes you can open. Search does not cover the Online Archive (In-Place Archive).
- Calendar: your events and calendars shared with you.
- Files: Word, Excel, PowerPoint, PDF and plain text files you can access in OneDrive and SharePoint. OneNote files cannot be read.
Claude sees only what you can already see. It cannot open a mailbox or file that your own account cannot.
Troubleshooting
| Problem | What to check |
|---|---|
| A member cannot sign in | Use a work or school account, confirm the Microsoft 365 license is active, confirm admin consent was granted, and check for a Conditional Access policy that blocks the sign-in. |
| “Administrator must approve” error | Admin consent has not been granted yet. Ask a Global Administrator to complete Step 2. |
| “Failed to call tool” | A permission was probably revoked. Restore it with admin consent, or turn off that tool for the member. |
| Write tools missing | Confirm admin consent for the write permissions and that write tools are switched on. Then have the member disconnect and reconnect. |
| Teams tool returns a 403 “Missing scope” error | Your tenant approved the connector before a newer permission was added. A Global Administrator repeats the admin consent. |
| Frequent reconnect prompts | A Conditional Access sign-in frequency policy may be blocking the connector. Check the non-interactive sign-in logs in Microsoft Entra. |
For Conditional Access blocks and error codes, see the troubleshooting section of Anthropic’s setup article.
Security and Control
- Delegated access. Claude acts as each user and cannot go beyond their own permissions.
- Restrict who can use it. Assign specific users or groups in Microsoft Entra, as described above.
- Revoke permissions. A Microsoft Entra administrator can revoke individual permissions under Enterprise applications. Calls that need a revoked permission then fail.
- Keep write tools off until you need them. Read-only access is enough for summaries, search and meeting preparation.
For the full permission model, read Anthropic’s Microsoft 365 connector security guide.
How Studio6 Can Help
If your business email is not yet on Microsoft 365, connecting Claude is a second step. Studio6 sets up Microsoft 365 on your own domain, with the DNS records that keep your mail out of spam, migrates your existing mailboxes and supports your team afterwards. Setup is from KES 6,500, migration is from KES 1,500 per mailbox, and monthly management and support is from KES 3,000. You keep direct ownership of your accounts.

Frequently Asked Questions
Can Claude connect to Outlook?
Yes. Claude connects to Outlook through its Microsoft 365 connector, which also covers your calendar, Teams, OneDrive and SharePoint. Claude can then search your email, summarise threads and, if your administrators allow it, draft and send messages.
Do I need an administrator to connect Claude to Outlook?
Yes. A Microsoft Entra Global Administrator must approve the connector once for your Microsoft 365 tenant. On Team and Enterprise plans, a Claude organization Owner also adds the connector for the team. After that, each person connects their own account.
Can I connect a personal Outlook.com or Hotmail account?
No. The connector needs a work or school Microsoft 365 account on a Microsoft Entra tenant. Personal accounts such as outlook.com, hotmail.com and live.com are not supported.
Is the Claude Outlook connector read-only?
By default, yes. Claude can read and search but cannot change anything. Write tools, which let Claude draft and send email, manage calendar events, create files and send Teams messages, must be switched on by your administrators.
Can Claude send emails with attachments?
No. Write tools do not support attachments, so Claude cannot send, forward or draft emails that include them.
Can Claude see everything in my mailbox?
Claude sees only what you can already access. It can search your primary mailbox, including its Archive folder, and shared mailboxes you can open, but not the Online Archive. Administrators can also restrict who can use the connector and revoke individual permissions.
